Privacy policy under Article 13 of EU Regulation 2016/679 (GDPR)

This policy covers rfmcube.com, the marketing website where we present RFMcube and its features. It does not cover your use of the RFMcube platform once you register (app.rfmcube.com), which is governed by a separate privacy policy you accept at sign-up.

Data controller

The data controller is RFMCUBE S.r.l., registered office in Via Massimo d'Azeglio 51, Bologna, Italy. For any request regarding your personal data, write to [email protected]. The controller has not appointed a Data Protection Officer (DPO), as it is not required for the nature and scale of the processing carried out.

Data collected automatically while browsing

Like any website, our systems automatically log some technical information needed to run the site (IP address, browser and device type, referring page, date and time of the visit). This data is only used in aggregate form to check that the site works correctly and for security purposes (preventing abuse, detecting attacks), based on our legitimate interest, and is never cross-referenced with your identity.

We do not use web analytics tools (such as Google Analytics) nor third-party profiling or advertising cookies (Facebook, Google Ads or similar). We do not run retargeting campaigns.

If you write to us through the "Contact us" or "Dedicated onboarding" forms

When you fill in one of these forms we collect the data you provide: name, company, phone number, email and the content of your message. We use it only to reply to you, based on the consent you give by submitting the form.

These forms are sent directly to our own systems (backend.rfmcube.com), which forward your request by email to our sales team. We don't share this data with anyone else, except where required by law.

If you request the free trial or create an account

If you fill in the "Start free trial" form, the data you enter (name, company name, phone, email, password) is sent directly to our own systems (backend.rfmcube.com) to create your account on the RFMcube platform. This processing is necessary to perform the contract you are about to enter into with us (Article 6.1.b GDPR); from that point on, how your data is processed as a platform user is governed by the platform's own privacy policy and terms of service, not by this page.

For every submission of one of the site's forms ("Contact us", "Dedicated onboarding", "Start free trial") we keep a record with: the form type, language, date and time, the data you entered (never the password), the IP address the submission came from and your browser information (user agent). We use it to handle your request, to show when and how you gave us your data and consent, and to protect the forms against abuse and automated submissions (legitimate interest, Article 6.1.f GDPR).

If you tick the newsletter opt-in, we use your email address to send you marketing communications through Brevo (Brevo SAS, France), based on the consent you give. You can withdraw it at any time via the unsubscribe link included in every email we send you.

Live chat

The site offers a live chat through Tawk.to (Tawk.to Inc.). Its script and the cookies it needs only load if you accept the banner shown at the bottom of the page, or if you click directly on the chat button (in that case the chat is enabled for that visit only, without recording your consent permanently). You can review or change your choice at any time via the "Cookie preferences" link in the site footer. If you withdraw consent after already having used the chat, Tawk.to's cookies are removed and the page is reloaded.

Your choice (accept/decline) is stored in your browser (local storage, not a cookie) and you will be asked again after 180 days, or sooner if this policy changes substantially.

Google Search Console

We use Google Search Console to monitor how the site appears in Google search results (e.g. keywords, ranking). This tool does not set cookies or collect data from site visitors: it relies on data Google already collects through its own search engine. For more details, see Google's privacy policy.

Hosting

Data collected by the site is processed on our hosting provider's infrastructure, which acts as a data processor on our behalf.

Legal basis for processing

• Consent: for the live chat (Tawk.to) and for the newsletter.
• Performance of a contract or pre-contractual steps: to reply to requests sent through the contact forms, and to create your account during registration.
• Legitimate interest: for technical data automatically collected for security and to keep the site running correctly.
• Legal obligation: when required to comply with tax or regulatory duties.

Data transfers outside the European Union

Tawk.to is based in the United States: using this service may involve a transfer of personal data outside the European Union. It is used by a great many European companies and relies on the standard contractual clauses approved by the European Commission, the mechanism the GDPR provides to ensure an adequate level of protection in these cases.

How long we keep your data

We keep data collected through the contact forms for as long as needed to handle your request and, where appropriate, for the following twelve months for commercial follow-up. Data tied to your RFMcube platform account is kept according to the platform's own terms of service. Technical browsing data is kept for a limited period, only as long as useful for security purposes.

Your rights

Under Articles 15-22 of the GDPR, at any time you can:

• request access to your personal data;
• request its rectification or erasure;
• request restriction of processing, or object to it;
• request data portability, where applicable;
• withdraw consent previously given, without affecting the lawfulness of processing carried out before the withdrawal;
• lodge a complaint with your local data protection authority, or with the Italian Garante (www.garanteprivacy.it).

Changes to this policy

We may update this policy over time, for example when we add or change one of the services described above. We will clearly flag any substantial change on this page, updating the date at the top of the document.
